We are a small distribution company which sells lubricants to various industries, we require our people to go to these industries and collect data from them, which consists of feedback given by existing and prospect customers. Our sales team is present in 7 different cities, each city is divided into 7 zones, we want this system to be scale able, so that we are able to open new cities, create more zones in cities, and open up new field agents. Our sales representatives/ field staff is assigned to visit specific areas on specific days, we want the system to check and report whether our field staff was present in that particular area on the particular day. Secondly we want our field staff to visit certain customers pertaining to a specific area on a specific day or date of every week or month, in the system we want to be able to define “visit schedule” of a field agent, and the system should also be able to give us the report of absents without leave in case the field agent is not making proper visits. This can only be monitored with automatic gps location checking, we should also keep that in mind that we cant leave the gps on all the time because it will drain the handset battery, because the filed agents are outdoors all the time, we cannot have their phones out of battery, because if their phones are out of battery we will not be able to know where they are and they will also not be able to send feedback forms to office. We do not want the app to start sending the data as soon as it is fed, the app should send data to server later in the evening, until the data is sent it should remain in the handset. We want our field staff to fill the following forms: 1- Survey form 2- Order Form (to receive orders from customers and send to office for compliance) 3- Sample requisition form (to advise office to send samples to customers) 4- Payment collection (to advise office to collect payment from customer) Survey Form This will result in opening up a new customer in database, the details about the customer can be filled in the form in one or more visits made to the customer. 1- Industry name 2- Industry address, industry area, industry zone, phone numbers, email. 3- Owner name, mobile number, email. 4- Purchaser name, mobile number, email. 5- Technical manager name, mobile number, email. 6- Industry type (what type of products this industry is manufacturing) 7- Monthly requirement of oil category wise (Hydraulic oil, Gear Oil, etc) 8- Which brand lubricant is currently being used (Shell, Mobil etc.) 9- At what price this industry is buying Gear Oil, hydraulic oil etc. 10- From whom this industry is buying (from manufacturer like Mobil or distributor) 11- What are the prices our sales representative has quoted to the customer 12- Remarks of the sales representative about the visit if any Out of this data collected from customer we wish to obtain the following reports: 1- Name of sales representative of our company 2- Registered potential (the potential he has registered by filling forms from his customers) 3- Competitor’s activity focused on specific area (example: Mobil is selling 50 drums of Gear oil in area A at the price of 100 per litre, and that area is of sales man Mr. AB) 4- Sales man visit compliance report (example: on Monday Mr. A is supposed to visit 05 customers in area X, has he visited 05 customers or has he visited 03 customers only, how many customers he has not visited. The form having the above mentioned fields will be partially filled on location; some of the fields will be mandatory, other fields he can fill when at home. Mandatory fields are name of industry its address and its location, the remaining fields can be filled at home by putting in approximate figures, the figures can be made more accurate in second visit or third visit to the customer, we do not want to annoy the customer by asking so many questions and complete the form in one visit.
