Staffing Database

We have been developing an application designed to help us manage staff, using ADO and an MS Access database. The application currently displays personnel info of various types (text, memo, pdf attachments, Ms Word attachments, date fields etc) to our satisfaction. The database manager can edit it, but the individual cannot. Attachments are encrypted and saved to a LAN drive. When an attachment is launched, the file is decrypted, the appropriate program automatically launches and displays the document. Edits are saved. This works okay. We want to add a few fields to track equipment loans. Also, error handlers need to be added almost everywhere. We want to work the bugs out of the existing program. Bugs include the fact that when an attachment is launched, if the required application is already open the launch fails. It is important to prevent accidental overwrite of the existing data. Also, there are some problems with adding a brand new employee - there should be a button which creates a new employee and initiates each of the underlying documents, setting Due Dates immediately. We want to expand the program so that individual users can see and edit their own info, and the info of staff working under their orders but not other people's. There is basic functionality for sending a LotusNotes email when items are considered overdue, but this needs tweaking. Currently, the system uses individual ActionDate fields to determine when to send the email and currently the need to send emails is not monitored automatically by the program. ## Deliverables EXISTING PROGRAM (i) Remove bugs from existing program (during editing of existing information, during the addition of new info) (ii) Add error handler to all events (iii) Remove bugs from attachements-related functionality, including but not limited to problems when the required application to view an attachment is already open. Ensure no accidental overwriting. (iv) optimize for speed (v) optimize the look and feel of the gui (vi) de-bug the functionality of the AddStaff screen ADDITIONS (i) Addition of fields to track equipment loans: Equipment type, equipment name, make, model serial number, asset number, date loaned, anticipated return date, attachment RequestForRemoval form. Automatic email to person when today > Anticipated Return Date. Automatic email to Database Admin when today > (Anticipated Return Date + 3 months). (ii) Ability to add new staff via the GUI, which would create empty entries for medical, security clearance, id card including Action Dates set to today. (iii) Ability for all staff to edit their own information (iv) automatically send emails (LotusNotes) to the staff member concerned, when items are one month away from being due. (v) do not significantly slow down the processing (vi) automatically send emails (LotusNotes) to Database Admin when items have been overdue for a month. (vii) Ability for supervisors to see/edit their staff's info (viii) When attachment size is > 0.6 meg, prompt the user to ensure the size is necessary and cannot be decreased. OTHER (i) supply a document illustrating program flow (ii) supply a document detailing changes made to the existing program 1) Complete and fully-functional working program(s) in executable form as well as complete source code of all work done. 2) Deliverables must be in ready-to-run condition, as follows (depending on the nature of the deliverables): a) For web sites or other server-side deliverables intended to only ever exist in one place in the Buyer's environment--Deliverables must be installed by the Seller in ready-to-run condition in the Buyer's environment. b) For all others including desktop software or software the buyer intends to distribute: A software installation package that will install the software in ready-to-run condition on the platform(s) specified in this bid request. 3) All deliverables will be considered "work made for hire" under U.S. Copyright law. Buyer will receive exclusive and complete copyrights to all work purchased.
